When we act for our clients rather than for ourselves
This notice covers personal data we handle as a controller, meaning data about visitors to this website, people who contact us, and people who use our self-assessment.
Separately, when we build or review systems for a client firm, we may handle personal data belonging to that firm’s own clients and staff. In that work the client firm is the controller and we act as a processor on their written instructions, under a data processing agreement signed before the work begins. If you are a customer of a firm we work with and you want to exercise your rights over your data, that firm is the right place to start, and we will support them in responding.
What personal data we collect and why
Enquiries and correspondence
When you contact us by email or book a call through our scheduling tool (Calendly), we collect your name, email address, and any other information you choose to provide. We use this to respond to your enquiry and, where relevant, to discuss our services with you.
Legal basis: Legitimate interest (responding to business enquiries) and, where you engage our services, performance of a contract.
Website server logs
Our web hosting provider automatically collects technical data when you visit this website, including your IP address, browser type, and pages visited. This data is used solely for security monitoring and website performance.
Legal basis: Legitimate interest (website security and performance).
Calendly
Our booking links use Calendly, a third-party scheduling service. When you book a call, Calendly collects your name, email address, and any information you provide in the booking form. Calendly processes this data under its own privacy policy, available at calendly.com/privacy.
AI Readiness Self-Assessment
If you complete our AI Readiness Self-Assessment, we collect your email address, and optionally your first name and business sector, along with your answers to the assessment questions. We use this to send you your result and a short series of related insights by email. Your answers are used only to generate your result and to tailor those emails.
Legal basis: Consent, which you give by ticking the consent box on the assessment form before you submit it. We record the wording you agreed to and the date and time you agreed to it. You can withdraw your consent at any time by unsubscribing from our emails or contacting us, and withdrawing it is as easy as giving it. Withdrawing consent does not affect anything we did with your data beforehand.
Brevo
We use Brevo, an email platform hosted in the European Union, to store self-assessment leads and to send the related emails. Brevo processes this data on our behalf under a data processing agreement and its own privacy policy, available at brevo.com/legal/privacypolicy.
Cookies
This website does not use cookies or tracking technologies. If this changes in future, we will update this policy and provide appropriate notice.
How long we keep your data
We retain enquiry correspondence for twelve (12) months from your last contact with us, unless you become a client, in which case retention is governed by our service agreement.
Server logs are retained for ninety (90) days.
Self-assessment data, meaning your contact details, your answers, your score and your consent record, is retained until you unsubscribe or ask us to delete it, and in any event no longer than twenty-four (24) months after your last engagement with our emails. After that we delete it without being asked.
Where we delete your contact details following a request, we keep a minimal record of the request itself, and of the fact that consent was given and withdrawn, for two (2) years. We need this to show we acted on your request and to avoid contacting you again by mistake.
Who we share your data with
We do not sell or share your personal data with third parties for marketing purposes. We may share data with:
- Our web hosting provider (for website operation)
- Calendly (for scheduling, as described above)
- Brevo (for the self-assessment and related emails, as described above)
- Professional advisors (where required by law)
Where your data is processed
Brevo stores and processes data within the European Union, and our web hosting is configured to serve this site from within the European Union.
Calendly is provided by Calendly LLC, a company based in the United States, and booking data is processed there. That transfer relies on Calendly’s self-certification under the EU-US Data Privacy Framework, with the European Commission’s Standard Contractual Clauses in place as a fallback. If you would rather not have your details processed outside the European Union, email us at hello@dploy.ai instead of using the booking link, and we will arrange a time by email.
Automated decision-making
We do not make decisions about you by automated means, and we do not profile you. Our AI Readiness Self-Assessment adds up the answers you choose using a fixed set of rules and shows you the result. No AI model is involved in producing your score, and the result has no legal or similarly significant effect on you. It is a guide, not a decision about you.
Your rights
Under the General Data Protection Regulation (GDPR), you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict our processing of your data
- Request a copy of your data in a portable format
- Withdraw consent at any time (where processing is based on consent)
To exercise any of these rights, contact us at hello@dploy.ai. We will respond without undue delay and in any event within one month of receiving your request. If your request is complex, or if you have made several, we may extend that by up to two further months. We will tell you within the first month if that happens, and why. There is no charge for any of this.
Complaints
If you are not satisfied with how we handle your data, you have the right to lodge a complaint with the Data Protection Commission (DPC):
